Claims & Workflow

Property claims management, end to end

A multi-tenant platform that tracks property damage claims from initial report through appraisal, chartered surveyor review, and solicitor handover — with role-based access at every stage.

The challenge

Claims processes involve too many people and too many spreadsheets

Property claims management typically involves multiple independent organisations — lead generators, appraisers, chartered surveyors, and solicitors — each needing visibility of different information at different stages.

Without a shared platform, claims get lost between email inboxes, status updates lag behind reality, and nobody has a single view of where each case actually stands. Compliance suffers, handovers fail, and costs escalate.

How it works

A single platform connecting every party in the claims lifecycle

Each claim moves through a defined workflow. Status is always computed from real data — never manually set — so it's always accurate.

Claim submission

Lead generators submit new property claims with address, postcode, and contact details. Claims are queued for administrator review.

Approval & allocation

Administrators approve or reject claims, then allocate approved cases to property appraisers for inspection and survey.

Inspection & survey

Appraisers schedule appointments, conduct property surveys, and compile findings into a formal report for review.

Chartered surveyor review

Independent chartered surveyors review and approve the appraisal report, ensuring quality and compliance standards are met.

Solicitor handover

Completed cases are passed to solicitors with full documentation and audit trail for legal proceedings.

Real-time dashboard

Status count cards, filtered job lists, and full audit trail — every stakeholder sees exactly what they need to see, nothing more.

Architecture

Computed status, immutable audit trail

Claim status is never stored in the database — it's computed on-read from date fields and workflow events. This eliminates data inconsistency and means the status is always the truth, not a stale label someone forgot to update.

Every workflow action generates an immutable system note. Notes are append-only — never edited or deleted — creating a complete, tamper-proof audit trail from submission to solicitor handover.

The platform supports multiple independent companies working in parallel — lead generators, appraisers, chartered surveyors, and solicitors — each with their own users, roles, and visibility rules.

14 computed statuses

  • Pending Approval → Approved / Rejected
  • Awaiting Allocation → Allocated
  • Appointment Scheduled → Survey Complete
  • Report Preparation → CS Review
  • CS Approved → Passed to Solicitor
  • Failed Survey (terminal state)
